You can change the security access level for folders in project documents folders and project folder templates to restrict access to staff who don’t need to know the contents of a particular folder.
NOTE: Set up the security access level for the Project folders template before you create a project.
In project folder templates:
When you make changes in the project folder templates, the folder structure of any new projects will have the same restrictions that you applied on this page.
- Find the folder that you want to update.
- Click the action button > and select 'edit'.
- In the security access level drop-down, choose which access type can edit the folder. This is the lowest security access level that can edit the folder. See security access level for a list of the different levels.
NOTE: This only applies to new projects. If you need to restrict folder access for a specific project, you will need to do this through project documents.
If you want to apply the template changes to an existing project, you can regenerate the folders from the template. This will not sync to SharePoint until a file in each folder is added/edited.
Any folders that have been added to a project in addition to the template remain as well.
In project documents:
- Find the folder that you want to update.
- Click the action button > and select 'edit'.
- In the security access level drop-down, choose which access type can edit the folder. This is the lowest security access level that can edit the folder. See security access level for a list of the different levels.
In order for the security changes to sync to SharePoint, the user must add or edit a file within the folder
NOTE: Staff who already have documents in these folders will no longer bea ble to see or access them if the security level is above their access level.
Folder rules
- if I set a security access level on a folder - (Synergy project manager) - only project managers and above (according to the staff security matrix) should be able to view the folder - others can't see the folder.
