Use internal stages and tasks to create the stages and tasks used for entering timesheets for internal project. The internal project is used by staff to enter time spent working on internal office tasks like admin work, leave or vacation time, or time spent attending meetings.
Tip: Setup the default tasks to be added into project stages in this timesheet tasks.
What are internal stages and tasks?
Work or expenses not associated or part of a job / project are entered against the internal project. The internal project is used to enter work within timesheets that staff completed for internal tasks like accounting, IT support, meetings, and different types leave. The internal project is also used to enter staff expenses, and supplier expenses (bills) against. This is required when the expense needs to be paid / reimbursed but it cannot be on-charged to a client on a project (making it an internal office expense).
The time or expenses allocated to the internal project can be viewed in reports. Split the internal tasks into stages to be able to monitor the time or expenses separately for each type of internal task. Sample stages and tasks are created with each organization to help you get started.
There is a default internal stage called 'leave', which includes tasks like: annual, sick, public holiday, time in lieu, long service, without pay, parental. This stage is used to let staff enter their different leave types into their timesheets.
Actions available
- Go to: Settings > Timesheet lists > Internal project stages.
- Click the 'Add' button in the top right corner.
- Type a 'name' for the group. e.g. Administration, leave, marketing, management.
- Check the utilized box if the task is for billable project work, and should counts towards the staff members productivity calculation. For non-billable tasks leave this box unchecked.
- Save and close.
- Go to: Settings > Timesheet lists > Internal project stages.
- Click the internal stage name row in the list to open the edit page.
- In the right panel for tasks, click the 'add task' button.
- Type a 'name' for the task. e.g. Staff meeting, Team meeting, Client meeting, Phone calls.
- Save and close the add task.
- Save and close the stages and tasks edit page.
- Go to: Settings > Timesheet lists > Internal project stages.
- Click the row for the stage name you want to update, or click the action button on the row and select 'edit'.
- Update the stage name in the box in the left panel.
- Save and close.
Update an existing internal task to change the name shown in drop-down lists.
- Go to: Settings > Timesheet lists > Internal project stages.
- Click the stage row which the task is part of, or click the action button on the row and select 'Edit'.
- Click the task name in the panel on the right to open the edit page.
- Type a new name for the task, and save and close.
- Save and close again on the internal stage edit page.
Delete an internal stage and all the linked tasks if it has not been used for any staff timesheets, staff expenses, or supplier bill expenses. Delete an internal stage and linked tasks by:
- Go to: Settings > Timesheet lists > Internal project stages and tasks and use one of the following methods:
- Single row - Click the row action button and select 'delete'.
- Multi-row - Select the checkbox(es) on the row left for each item you want to delete. Then click the multiple rows action button and choose 'delete'.
- The list refreshes and the item(s) have been removed.
Tip: Unable to delete an internal stage? Mark the item as 'inactive' to remove it from drop-down lists.
Delete an internal task if it has not been used on any staff timesheets, staff expenses, or supplier bill expenses. Delete an internal task by:
- Go to: Settings > Timesheet lists > Internal project stages.
- Click the row for the internal stage name that contains the task, or click action button and select 'edit'.
- In the panel on the left locate the task you want to delete and click action button and select 'delete.
- The page refreshes and the item have been removed.
Tip: Unable to delete an internal task? Mark the item as 'inactive' to remove it from drop-down lists.
Make an internal stage 'inactive' to stop the stage and all linked tasks from being shown in drop-down lists in the time and expense entry pages. The internal stage and linked tasks are not removed from any existing transactions. Change an internal stage and linked tasks to 'inactive' by:
- Go to: Settings > Timesheet lists > Internal project stages and tasks, and use one of the following methods:
- Single row - Click the row action button and select 'edit'. Uncheck the 'active' box on the left panel (under the group name), and then save and close.
- Multi row - In the list check the box(es) on the left of the name column, and then click the multi rows action button. Choose 'set as not active' option.
- The list refreshes and only the active items remain in the list.
Tips:
- Use the list filter 'all' to find both active and inactive internal stages and tasks.
- A strike-out style is applied to rows that are inactive.
Make an internal task as inactive to stop the item from shown in drop-down lists for that internal stage. The task is not removed from any existing transactions. Change a internal task to 'inactive' by:
- Go to: Settings > Timesheet lists > Internal project stages and tasks
- Click the row action button and select 'edit' against the internal stage the task is part of.
- Click the task name row in the panel on the right.
- Uncheck the 'active' box in the task edit page, and then save and close.
Tip: A strike-out style is applied to rows that are inactive.
Search
When a large number of items exist use the search or filter options to limit the number of rows shown in the list.
Search by clicking the search button and typing the keyword into the search box. To return to seeing all items in the list click the clear button in the search bar.

Filter
Filter the list by selecting the search button. See the available filters by clicking the word 'active'. Select a filter from the drop-down list and click the search button to apply the filter. The filter options are:
- Active - the default list filter that shows the items that can be used (seen in drop-down lists).
- Inactive - see the items that can no longer be used, and are only shown when still linked to existing records.
- All - see both active and inactive items in the list.
Tip: Return to the default view by choosing the clear button in the search bar.
The following internal stages and tasks are added automatically when a new organization is created. Customize this list to match the list of internal non-billable stage groups and tasks which your staff need to enter for non-billable timesheets or expenses for internal office tasks.

Tip: Select a office group row, and the edit window opens that lets you see the above details. Add or edit any of the office tasks as required.
